Welcome to Admina, a web-based platform designed to help you understand, translate, and manage your official letters more easily. These Terms of Service ("Terms") govern your use of Admina (“we,” “our,” or “us”) and any related services. By accessing or using Admina, you agree to be bound by these Terms. If you do not agree, please do not use our platform.

1. Description of Service

Admina is a tool that helps users:

Translate and summarize official documents (e.g., letters from authorities)
Extract relevant deadlines or follow-up actions
Understand the content of bureaucratic communication

Admina does not store the original documents. Only processed outputs (translations, summaries, and reminders) may be saved temporarily to enhance the user experience.

2. User Responsibilities

You agree:

To use Admina only for lawful purposes
Not to upload documents containing illegal or highly sensitive data (e.g., health records, passwords)
That the documents you upload are your own or that you have the right to process them

You are solely responsible for the content you upload and the actions you take based on the outputs provided by Admina.

3. Third-Party Services

Admina uses trusted third-party providers to operate and deliver its services. These include:

OpenAI (ChatGPT): For summarizing and restructuring content
Microsoft Azure: For text extraction (OCR), Identity management, API deployment and translations.
MongoDB Atlas (via Azure): For storing summaries, translations, and reminders (not original files)
Vercel: For hosting the platform.

All providers are GDPR-compliant. Where applicable, we have signed Data Processing Agreements (DPAs) with each provider.

By using Admina, you consent to your uploaded content being securely processed through these services for the purposes of delivering the functionalities you request.

4. Privacy and Data Protection

Your privacy is important to us. Please refer to our Privacy Policy for information on how we collect, process, and store data.

5. Intellectual Property

All content, trademarks, and software associated with Admina (excluding user-uploaded content) are the property of Admina or its licensors.

You may not copy, modify, distribute, or sell any part of Admina without prior written consent.

6. Disclaimers

Admina is provided on an “as is” and “as available” basis. While we aim to offer reliable outputs, we do not guarantee accuracy or completeness, especially for legal or financial decision-making.

We are not liable for actions taken based on summaries or reminders generated by Admina. We recommend you verify the information and consult professionals for legal matters.

7. Termination

We may suspend or terminate access to Admina at any time for violations of these Terms, misuse of the platform, or security concerns.

8. Modifications to the Terms

We may revise these Terms from time to time. The latest version will always be available on our website, and the effective date will be updated.

9. Governing Law

These Terms are governed by the laws of Germany. Any disputes shall be settled in the competent courts.
